Start with the next job, not the longest list
Open orders are not one kind of work. Some are ready to prepare, some are waiting for payment and some contain an instruction that changes how you handle them. A useful morning review separates those groups before you start clicking through records.
Choose a short working period and the orders it covers. Review payment information, the items and variations, delivery requirements, customer instructions and anything already done by a colleague. Put each order into a practical lane: ready, waiting, or needs a decision. These are working categories, not new WooCommerce statuses.
Keep a clear owner for the next action. “Check the delivery address with the customer” is a job; “look at order #1046 again” is unfinished interpretation. You should be able to leave the list knowing what to do and what you are waiting for.
From an open order to a packed parcel.
At DYMR, order #1048 is ready: four Heavyweight Tees for Noor. In Daymerce, you pick up that order in the same workspace where you can see the customer and her purchase history.
Choose what to pack.
Open the packing queue and start a round. See which orders are waiting and keep the rest of the work in view.
Keep the right item in front of you.
Order #1048 keeps the product photo, size, SKU and four items beside the check. There is no separate packing list to maintain or product information to copy.
Check it and carry on.
Tick the product line and finish packing. The next order opens while the round tracks what is done. Shipping labels and shipment confirmation follow through your shipping setup.
Keep your attention on the parcel. Daymerce keeps the order and the next step together.
Read the status with the payment method
Use the official status definitions with the order notes and the relevant provider record. Pending payment means payment has not been completed. On hold can cover a payment awaiting confirmation. Failed and Cancelled need their own investigation rather than a quick status change to clear the list.
Processing normally identifies an order awaiting fulfilment, but does not universally prove that money is in your account. Cash on delivery is an important exception: the order can remain Processing before cash is collected. Separate authorisation and capture, delayed methods and custom gateways also require their documented checks.
A status change can affect stock, notifications and connected services, depending on the transition and setup. Do not mark an order Completed simply to hide an unresolved item, or mark it paid because the customer saw a confirmation page. Establish what happened first.
A morning with five different orders
The following orders are fictional. The examples show how to choose work; they are not transactions performed for this guide.
| Order and evidence | Next job | What must be confirmed |
|---|---|---|
| 1041 · Processing; provider confirms payment; one standard item | Prepare the item and delivery details. | Check it has not already been packed. |
| 1042 · Pending payment; no confirmed provider success | Leave fulfilment waiting; review the payment position. | Do not treat the record alone as payment. |
| 1043 · Processing; paid; recipient message attached | Keep the gift message with the selected items. | Check the message and any price-free packing instruction. |
| 1044 · Paid; customer asks for a different size | Resolve the requested change before packing. | Check variation, availability and any approved price adjustment. |
| 1045 · Failed; customer reports a charge | Match order notes with the private provider record. | Establish the outcome before requesting another payment. |
Review the ready lane first, but leave time for exceptions. If an item is unavailable, an address is unclear or a customer requests a change, record the question and its owner instead of sending an incomplete parcel.
A customer question? Their purchase is already within reach.
If Noor asks about her order, open her purchase in Customer 360. See which order she means and move to its products and status without piecing the same information together again.
A useful answer is specific: what was ordered, what processing remains and what can you actually promise? Help the customer with the same information you use to prepare the parcel.
Keep the instruction with the item
Before packing, match the product, variation and quantity to the order. Then check the details that change the job: fragile items, a gift choice, a recipient message, a delivery promise or an agreed customer change. The check belongs beside the items, not in a separate pile of notes.
Batching can reduce repeated movement when the orders genuinely share a task. You might collect the same product for several orders, then verify each parcel separately. Keep order identity, quantities and personal messages distinct. A shared product does not make the recipient instructions interchangeable.
Shipping labels and tracking depend on your connected delivery solution. Use its documented flow and verify the order reference before purchasing a label or handing over a parcel. Preparing a package, creating a label and confirming dispatch are different events.
Finish the real work before changing its state
Agree what “done” means for the products and payment methods you sell. For a physical order that includes the agreed fulfilment and communication steps. Virtual products, manual payment methods and extensions can follow different rules. Use the actual order history instead of copying a status sequence from another shop.
A refund is also separate from a status label. Read the refund guidance and your gateway instructions: the right record and any actual movement of money must agree. Do not assume manually labelling an order Refunded returned money through the provider.
At the end of the working period, review what remains waiting, who owns each exception and which completed parcels still need an agreed final check. Carry forward a clear reason, not another unexplained list.
