WooCommerce stock is wrong? Check the product, variation and source

There are tees on the shelf, but the shop says out of stock. Or WooCommerce and another system show different quantities. Before changing a number, identify the exact item and the system that owns its stock. Otherwise the next sync may simply restore the problem.

The short answer.

Identify the exact product and variation, check where stock is managed, then compare the quantity, availability and backorder rules with the authoritative source. A shared product quantity is not automatically a quantity for every size.

Daymerce · Daymerce keeps product and order context close while you investigate the availability question.

Where Daymerce helps

Start with the exact item.

Use the product ID, variation ID and SKU together. A product name or photograph may cover several sizes. Check which option the shopper selected and which option you counted physically. If two systems use different identifiers, resolve that mapping before editing either stock value.

Separate three symptoms: the quantity is wrong, the availability message is wrong, or the variation is missing entirely. A variation without the required product information can disappear even when physical stock exists.

Find the level that owns the quantity.

A variable product can use shared stock or quantities on particular variations. Inspect the settings rather than inferring the level from the parent product’s total. Availability and backorders also affect what the customer can buy.

Confirm whether WooCommerce is the source or receives updates from a warehouse, till or another service. Compare the last successful update with the relevant order, cancellation or return. A delayed update and an incorrect mapping need different fixes.

One tee, two sizes, two different questions.

In this fictional example, DYMR stores stock per variation and does not allow backorders. The figures illustrate the investigation, not a live inventory report.

Correct one cause and follow the same item again.

When the owner of the stock data and the cause are clear, agree one correction with the person responsible. Read the value back in the source, the connected system and the customer-facing variation. If a sync runs later, check again after it completes.

Do not repeatedly overwrite a number that another system controls. For a missing variation, also check its enabled state, price and attributes. Use the order-management guide for the wider fulfilment process; this check stays focused on the item and its data source.

Good to know.

Why is a product available but one size is sold out?

Variations can have their own stock and availability settings. Check the selected size rather than relying on the parent product alone.

Should I change WooCommerce to match my warehouse?

First confirm which system is authoritative and why the values differ. Otherwise the next update can overwrite your correction.
